Administrative Supervisor

Working alongside and providing support for the Chief Operations Officer the successful candidate will be an integral part of the day-to-day running of the clinic. Reporting directly into the Chief Operations Officer on a daily/basis you will be responsible for ensuring the smooth running of the clinic.

  • Responsible for scheduling of public and private clinics
  • Ensuring full clinical cover for all clinics
  • Organising medical staff schedules to ensure optimal number of patients booked in
  • Overseeing patient flow from the moment clinic is contacted until discharge is complete
  • Forecasting and analysing any gaps in services, proposing solutions
  • Identifying any issues with patient flow before they happen
  • Managing clinical and support staff ensuring best practice is followed at all times
  • Liaising with potential clients, sending out presentations to bring in new business
  • Managing all staff leave including annual, sick and study ensuring clinics are covered at all times
  • Providing leadership and managing support staff for all clinic areas
  • Implementation updating of HRIS
  • Ensuring the clinic consistently operates in a high-quality manner
  • Dealing with patients and situations that may arise in a calm and professional manner
  • Maintaining a comprehensive medical and financial information system
  • Providing a professional service to patients in a confidential and sensitive manner
  • Respond to outside enquiries about services offered by the organisation
  • Ensure patient satisfaction
  • Performing any ad hoc duties that may arise

The ideal candidate will:

  • 3-4 years in a similar role
  • Strong people management experience essential
  • Experience in day to day resource planning, productivity and accuracy
  • Able to act with confidentiality, tact and discretion
  • Proven organisational skills with a high level of accuracy
  • Knowledge of MS Office suite
  • Exceptional verbal and written communication skills
  • Professional qualification or working towards one in Business/Management/HR ideal
  • Ability to be flexible to ever changing situations
  • Be self-motivated and show initiative
